What this platform does

The Canvathon Africa Team Matcher helps participants form teams of three within their selected physical event hub for Canvathon Africa 2026. This policy explains what information we collect and how we use it.

Information we collect

When you join or create a team, we collect your full name, email address, WhatsApp number, selected country and event hub, university or institution, T-shirt size, and whether you can attend that hub’s physical event on time. We also record your team, team lead, shared team motivation, consent confirmations, application status, and registration and review times.

How we use your information

• To place you in a Canvathon team within your selected event hub.
• To show your name and contact details to the other two members of your team.
• To email you when your team is complete and share your teammates' contact details.
• To plan event attendance and T-shirt quantities.
• To administer Canvathon Africa team matching and prevent duplicate registrations.
• To review complete team applications, record shortlist decisions, and send the same outcome to all three members.

Gmail access

The platform uses Google's Gmail API only to send team-completion and test emails from the connected organiser account. It requests the gmail.send permission. It does not request permission to read, change, or delete emails. Google authorisation tokens are stored securely and are not shared with participants or sold to third parties.

Sharing and storage

Your contact details are shared only with the other members of the team you join and with authorised Canvathon organisers. Country administrators can access only the submissions for the country assigned to them. We do not sell participant information. We keep the information only as long as needed to organise the event, handle reasonable follow-up, and meet applicable record-keeping or security requirements.

Your choices

You may ask to access, correct, or delete your information. Deleting your information before team formation may remove you from your team.
